Row House Reservation Policy and Protocol
Within our campus culture of openness and mutual respect, Row houses hold special significance for Stanford's student community, serving as important spaces for both residents and non-residents to host gatherings. The policy outlined below facilitates access to these spaces for Stanford student groups and departments for the purpose of hosting gatherings, while respecting the residential experience of the students who currently reside in these spaces.

Policy
Reservation Requirements
- Row houses may only be reserved by on-campus groups (e.g. recognized volunteer student organizations, fraternities, sororities, or campus departments).
- Groups must be in good standing, as defined by their relevant managing office/department (e.g., OSE, FSL). Groups must have a university (ASSU or PTA) account to which damages may be charged.
- The reserving group is responsible for acquiring written (email) permission from the relevant Row house student leadership (see contact info above) in order to utilize a house for a party.
- The reserving group is responsible for registering the party in accordance with Stanford Party Planning guidelines.
- The reserving group is responsible for upholding all Stanford event and Party Planning guidelines, including those related to alcohol service, points of service, and sober monitors.
- All Row house reservation submissions require the approval of a Neighborhood Program Director (and FSL professional staff, if applicable), as well as other cognizant campus partners, via the Party Review Committee weekly meeting.
- All reservation requests must be submitted within the timeframe required by the Party Planning guidelines.
- If approved, the reserving group is responsible for coordinating a pre-party facility walkthrough prior to the event date– this can be the same walkthrough as the fire marshall walkthrough if that is required. The walkthrough should at a minimum include a representative from the reserving group, the Row house student leadership, or the Row Graduate RA. It is strongly recommended that the R&DE housing building manager for the house be invited as well (since there may be issues that can only be resolved by the housing building manager).
Damages & Liability
- The reserving group is responsible for all cleaning and/or damage charges associated with the event, and are expected to have sufficient funds available in their ASSU or PTA account to cover any such charges.
- Conditions that may result in charges include, but are not limited to, the following:
- Physical damages are incurred by the setup of the event or by the event itself
- Insufficient post-event clean up
- Event lasting longer than the time stipulated in the reservation request
- Any violation of the clauses included in the Residence Agreement
- Specific cleaning/damage charges are determined at the discretion of R&DE Student Housing Operations. The amount of the charges will be assessed at a campus-wide rate by R&DE Student Housing Operations, and fully or partially charged to the reserving group at the discretion of Residential Education and R&DE Student Housing Operations.
- Post-party walkthroughs are not required, but are recommended to ensure all parties have the same information about cleaning and damage assessments. Reserving parties can choose to coordinate a post-party walkthrough, or Row house leadership may request that the reserving party coordinate a post-party walkthrough. Any post-party walkthrough must happen the following business day after the event (i.e., Monday if the event occurs on a Friday, Saturday or Sunday), and include a representative from the reserving group, the Row house student staff, Row Graduate RA, and R&DE housing building manager for the house.
- Arbitration of charges may be conducted by Residential Education and/or R&DE Student Housing Operations. If the reserving group chooses to not coordinate a pre-party or post-party walkthrough, or cannot do so within the required timeframe, they relinquish the ability to arbitrate any charges.
Compensation
- Although Row Houses serve primarily as the community space for the students who live there, they are also University-owned resources that may be shared with the broader Stanford community, in line with the values of the house and applicable University policy. As such, houses may not collect compensation for a reservation.
Cleaning
- The reserving group assumes all responsibility for set-up and clean up, immediately after the event.
- ALL clean up must be completed by 8:00am the following morning of the event, including vacuuming, mopping, trash disposal, etc. This is out of courtesy for the residents of the Row house.
- Areas that should be returned to a clean condition include, but are not limited to, the lounge/living room, pool room, dining area, first floor restrooms, patio, and the front/back lawns.
- All furniture must be placed in its original position at the end of the event(s).
- If the cleaning standards set in accordance with the expectations of the Housing Building Manager are not met, R&DE Student Housing Operations, in conjunction with Residential Education, is entitled to charge the reserving organization for any damage or cleaning costs at its discretion.
Kitchen Usage
- The County of Santa Clara deems all Row house kitchens as a commercial space and they are managed/maintained by R&DE Stanford Dining.
- Kitchens are not available for use by reserving groups.
Decorations & Occupancy
- Decorations and/or structures may require the approval of the Stanford University Fire Marshall.
- It is the responsibility of the reserving group to comply with all applicable regulations and acquire all necessary permits. Please note that decorations may require flame-retardant coating.
- Occupancy should be limited to the maximum capacity stated for any indoor or outdoor property. It is the responsibility of the reserving group to meet occupancy guidelines throughout the duration of the event.
Failure to Adhere to Policy and Protocols
- Reserving groups failing to conduct their event with the greatest consideration for residents of the house will be disallowed from using residential spaces in the future and may face administrative action associated with an organizational conduct review.
- Row house student leaders and reserving groups may not enter into any contracts or agreements that are in violation or contradiction of the Row House Reservation Policy. Row house student leaders and reserving groups found in violation of this policy may be subject to disciplinary action.
